Chandlers Building Supplies is a privately-owned, independent builders’ merchant with 13 branches across the South East of England. They stock over 20,000 individual product lines that cater for the needs of everything from major construction projects, right through to smaller scale refurbishments, available to customers by delivery or collection from a branch.

As a growing business, Chandlers deal with an ever increasing number of businesses who supply products into their branches and they required a more efficient, accurate way to track and handle supplier invoices into their purchase ledger.

Increasing Process Accuracy and Efficiency

Using the unique eHub3 PDF to XML module from Open ECX, Chandlers are able to automatically convert and validate any PDF invoice received from a supplier into an e-invoice. This completely removes the need for time-consuming manual entry, eliminates human error and the potential for re-keying.

The eHub3 system receives PDF invoices to a designated email address and using our industry leading technology, converts the relevant information into XML data that is processed, validated and delivered back to Chandlers in a pre-agreed format for processing and payment.

By removing the potential impact that errors and manual processes can have on payment dates, the benefits of the service are immediately apparent to suppliers and make rapid adoption particularly compelling.

Rapid Adoption – Immediate Impact

In the first few months since adoption of the eHub3 PDF service, Chandlers have managed to successfully increase the percentage of documents being processed electronically to 55%.

This had an immediate impact internally, increasing input accuracy and speeds which have allowed them to reduce the number of staff in the purchase ledger teams, reallocating them to higher value tasks that make more of an impact for the business.

It has also been a boost to staff morale overall, automating some of the more onorous, repetitive tasks associated with the purchase ledger.
